How do I set up my e-mail client to send and receive?

First, an explanation of how POP3 / IMAP & SMTP e-mail works is essential for you to enjoy e-mail without complications.

POP3 / IMAP & SMTP e-mail is comprised of two distinct functions, namely 'sending' and 'receiving' of e-mail. POP3 / IMAP are used to receive or retrieve e-mails from a mailbox on a specified e-mail server, while SMTP is used to send e-mails from your e-mail client to the recipient or destination.

What we provide and recommendations:

POP3 / IMAP - We provide mailboxes for any e-mail address you create in your cPanel for your domain. When configuring your e-mail, you will be required to use your full e-mail address as the username and the password assigned to that e-mail address, in order to access your mailbox and access or download your e-mails.

SMTP - We provide e-mail sending functions or SMTP. When configuring your e-mail, you will be required to use your full e-mail address as the username and the password assigned to that e-mail address, in order to send e-mail using our servers.

However, we do recommend that you rather use your current ISP's SMTP server for sending emails, since some ISP's are known to block SMTP (Such as iBurst and Vodacom) on foreign networks or to foreign e-mail servers. In these cases, you will use us to receive your emails and you will use your ISP to send your e-mails.

If you find yourself having to use your ISP to send your e-mails, we provide a basic list of the known SMTP servers for certain large ISPs in South Africa below:

  • Internet Solutions ADSL - smtp.isdsl.net
  • iBurst - smtp.iburst.co.za
  • Vodacom 3G - smtp.vodacom.co.za
  • MTN 3G - smtp.mtn.co.za
  • Telkom ADSL - smtp.telkomdsl.net

If you have problems sending e-mail and you are using your ISPs SMTP server, please contact them directly.

Creating e-mail accounts and setting up your e-mail client:

Before you can use POP3 e-mail, you must first create mailboxes and assign e-mail addresses. You can create new e-mail addresses and mailboxes from within cPanel.

First, login to your cPanel (http://www.yourdomain.com/cpanel) and once successfully authenticated, click on 'Mail' then click on 'Manage/Add/Remove Accounts'.

Using the cPanel, you will be able to automatically configure most popular e-mail clients by clicking on 'Configure Mail Client' button; you can step through the automatic setup script for your specific mail client. It's all quite painless and very easy. Your email client will be configured in a matter of seconds.

Please note the following:

  • When retrieving your e-mails from our servers, your POP3 / IMAP (receiving) server name will always be : mail.yourdomain.com (replace yourdomain.com with your actual domain)
  • When retrieving your e-mails from our servers, your SMTP (sending) server name will always be : mail.yourdomain.com (replace yourdomain.com with your actual domain)
  • When sending your e-mails from our servers, your POP3 / IMAP (receiving) username will always be the full email address of the account you are setting up.
  • When sending your e-mails from our servers, your SMTP (sending) username will always be the full email address of the account you are setting up.
  • POP3 / IMAP and SMTP email on our servers requires authentication for both incoming and outgoing mail.
  • For a new account where the domain name is not fully transferred to Rheid Communications, your e-mail account(s) may/may not work properly. Wait at least 24 hours after registering or transferring a domain name.

Manual instructions for Microsoft Outlook are outlined below:

Go to the following menu:

Tools --> Services in Outlook 97

Tools --> Accounts in Outlook 98 / 2000 / 2003

Tools --> Accounts then Add --> Mail in Outlook 98 /2000 / 2003

Highlight internet mail (POP3) and then select either the properties or next button.

Fill in the correct information as indicated below:

Full Name: your full name

Email Address: yourname@yourdomain.com

POP3 Server: mail.yourdomain.com

Account name: Email address

Password: The password for the pop3 account. (The password you setup within cPanel)
